Service Agreement

1. Purpose of This Agreement

This agreement outlines the terms under which psychological assessment and therapy services are provided by Verdure Psychology Ltd (“the Company”, “we”, “us”).

By engaging in therapy, you confirm that you have read, understood, and agree to these terms.

If you are working with an independent therapist affiliated with Verdure Psychology, a separate agreement will apply.


2. Confidentiality

All information shared in therapy is treated as confidential.

Information may be disclosed where necessary and proportionate in the following circumstances:

  • With your consent
  • Legal obligation (e.g. court order)
  • Safeguarding and risk, where there is a risk of serious harm to you or others
  • Insurance administration, where applicable
  • Clinical supervision, in anonymised form

Where possible, disclosures will be discussed with you in advance.

If you disengage from therapy and there are concerns about your wellbeing, reasonable attempts may be made to contact you. If unsuccessful, we may contact your GP where clinically appropriate.


3. Remote Sessions

Remote sessions are delivered via Cliniko Telehealth using secure, encrypted technology.

You are responsible for ensuring privacy at your location.

Sessions are not recorded unless explicitly agreed.


4. Emergency Contact and GP Details

We require your GP details as part of safe clinical practice.

An emergency contact is optional but recommended. This will only be used where:

  • There is significant concern for your safety
  • We are unable to contact you

Only necessary information will be shared.


5. Crisis Support

Verdure Psychology is not a crisis service.

If you require urgent support, please contact NHS 111 (mental health option), 999, or appropriate crisis services.


6. Information We Collect

We collect information necessary to provide safe and effective care, including:

  • Personal and contact details
  • Health and clinical information
  • Relevant personal history
  • Insurance and payment information
  • Communications

7. How and Why We Use Your Information

Your data is used to:

  • Provide therapy services
  • Maintain clinical records
  • Communicate with you
  • Meet legal and professional obligations
  • Manage risk
  • Administer the business (including invoicing and accounting)

8. Legal Basis for Processing

Verdure Psychology Ltd is the Data Controller.

We process your data under:

  • Article 6(1)(b) – Contract
  • Article 6(1)(c) – Legal obligation
  • Article 9(2)(h) – Provision of health care

Where relevant, consent is sought for specific disclosures.

You may raise concerns with the Information Commissioner’s Office.


9. Data Storage and Security

Your data is stored securely using trusted providers, including Cliniko, Healthcode, ProtonMail, Heidi Health, Stripe, Starling Bank, and Xero.

These providers act as data processors (or independent controllers where applicable). Some may process data outside the UK with appropriate safeguards in place.

We take appropriate technical and organisational measures to protect your data.


10. Payments and Financial Data

Payments may be made by card or bank transfer.

Card payments are processed via Stripe. We do not store full card details.

Bank payments are processed via Starling Bank and may be accessed for accounting via Xero.

Financial data is processed only as necessary for payment, accounting, and legal compliance.


11. Insurance-Funded Therapy

If therapy is funded through private health insurance, we will usually invoice your insurer directly.

However, you remain personally responsible for all fees incurred, including:

  • Policy excess
  • Shortfalls between our fees and insurer reimbursement
  • Sessions not authorised or declined
  • Fees incurred after policy limits or renewal

It is your responsibility to check your policy details.

If an insurer does not pay for any reason, you agree to settle the outstanding balance.


12. Data Retention

  • Adults: 7 years after last contact
  • Minors: until age 26 or 7 years after last contact

Data is securely archived and deleted in line with these periods.


13. Your Data Rights

You have rights including access, rectification, erasure, restriction, objection, and portability.

Requests will be responded to within one month.


14. Consent and Capacity

Therapy is voluntary and requires capacity to consent.

Young people’s consent is assessed in line with legal and professional standards.


15. Attendance and Cancellations

  • Sessions are 60 minutes
  • 24+ hours’ notice: no charge
  • <24 hours: 50% fee (unless exceptional circumstances)

16. Fees and Payment Terms

  • £140 per session (self-funded)
  • Payment required before or shortly after sessions
  • Outstanding balances must be cleared before further sessions

17. Therapeutic Process

Therapy requires active engagement.

We may review or discontinue therapy if:

  • It is not clinically appropriate
  • Risk cannot be safely managed
  • Attendance is inconsistent

18. Limitations of Service

This is an outpatient service and not suitable for crisis or high-risk care.

Where needed, referral to NHS or multidisciplinary services will be recommended.

Outcomes cannot be guaranteed.


19. Ending Therapy

You may end therapy at any time.

If there is no contact for 6 weeks, therapy will be considered ended (and your file closed) unless risk concerns we are aware of justify further action. Closure of your file does not prevent you from contacting the service again in future, although availability cannot be guaranteed.


20. Behaviour and Boundaries

Therapy may be discontinued in cases of:

  • Aggressive or inappropriate behaviour
  • Attending under the influence

21. Contact Preferences

Your contact details will only be used for purposes related to therapy and not for marketing.
